A request for information (RFI) is a formal business process to capture information about bidders and the goods and services they provide. Sourcing Optimizer enables you to create customized RFIs, as basic or advanced as you require, to gather all the necessary information for your sourcing event.
The RFI page features two tabs: the Questions tab, and the Settings tab.
On the Questions tab, you can configure your RFI; add, edit, and delete questions; view an RFI summary; and search and filter questions. From the Questions tab, you can also download a Keelvar RFI Design template, upload RFI Excel files, and copy existing RFIs from other events.
Summary
This section offers a summary of the RFI, showing the count of questions, types, categories, questions with reference documents, and gating questions that must be answered before accessing the bid sheet. You can toggle the Summary area by clicking Show or Hide in the top-right corner.
Search and filter
The search area allows you to search by Title, Description, or Identifier. Enter your text after selecting a search option, and the question list updates as you type. The filter area includes two criteria: Category and Response. Click a filter to see options, then select one and click Apply to update the list. Use Reset to clear the filter.
New question
Sourcing Optimizer offers various options for creating and displaying your RFI questions, whether online or offline. You can create an RFI in three ways: online with Sourcing Optimizer, offline with a downloaded template, or by copying an existing RFI from another event.
- Import RFI: To create an RFI offline, download the Keelvar RFI Design template, add your questions in the Excel file, and upload it to Sourcing Optimizer.
- + Add question: Click to add and configure a new question online for your RFI.
- Actions icon: Click to open additional options to manage categories, arrange questions, or delete all questions.
- Questions: All of your created questions appear in this list. You can add, move, edit, and delete questions in this area. For additional information, see Creating an RFI online.
