Streamlining Event Creation with SO Templates

To support a smoother onboarding experience and empower users to create events more efficiently, we’re excited to introduce Event Templates — structured, reusable blueprints designed to simplify event setup and promote best practices in sourcing.

These templates are similar to the existing BOT templates and will provide a pre-defined framework that helps users overcome the “blank slate” challenge and ensures consistency across sourcing events.

 

Benefits of Using Event Templates

Event Templates bring several key advantages to both new and experienced users:

  • Eliminate the Blank Slate Challenge: Start with a structured format instead of building from scratch.
  • Promote Best Practices: Templates incorporate sourcing excellence principles, helping standardize event design across your organization.
  • Boost Efficiency and Consistency: Reduce setup time and ensure a uniform approach to event configuration.

Types of Event Templates

There are three types of Event Templates available, each serving different use cases:

1. Keelvar Pro Templates

  • Pre-configured and maintained by Keelvar’s Professional Services team
  • Available to all organizations using Keelvar Pro

2. Organization Templates

  • Created and managed by users within your organization
  • Shared across all team members to promote collaboration and standardization

3. Private Templates

  • Created by individual users for personal use
  • Only visible and editable by the template creator

Key Considerations

  • Templates Are Not Live Events: Event Templates act as blueprints. You cannot run or publish an event directly from a template. Instead, use a template to create a new event, which can then be configured and launched as needed. In addition, supporting documents and bid values will not be copied across from a template, however, RFI file attachments will be.
  • Templates Are Static Snapshots: Templates do not maintain a live link to the events from which they were created. If you make changes to the original event, those changes will not automatically update the template. To reflect updates, you’ll need to create a new template.

Start creating SO templates

1. Click on the three dots of an existing event and select "Create a template from event"

2. Choose "New template" or "Replace existing template" and fill out the "Description", "Category" and "Tags"

3. Select the what you would like to include in the template, the visibility and customize the icon and its colour. 

 

Manage your templates

1. Click on "Event Templates" to manage your templates.

 

2. You can view your templates, search and filter by "Template Type", "Category" and "Event Type". 

 

3. You can archive templates by clicking the three dots and selecting "Archive" 

 

4. To view archived templates, click on "Show archived only"

 

Create an event from a template

1. Click on "Create event" and select "From template" 

 

2. Select the template you would like to use in the event and click on "Continue"

 

3. Edit the event details and click on "Create event"
