On the Reports tab, you can generate two downloadable reports: A Negotiation guide report and a Bid summary report.
Negotiation guide report
The Negotiation guide report is a customizable, downloadable report that provides the top-ranked bids for each lot based on a selected scenario.
You can customize this report by selecting an evaluated scenarios and then entering the number of top-ranked bids — for example, the top 3 or 5 bids — to include in the report based on that scenario.
Bids are ranked by the percentage of the lot awarded and then by lowest cost.
Reviewing winning bids against a range of losing bids in this format can help you understand the cost tradeoff when choosing nonoptimal award outcomes, and better negotiate with suppliers.
The report can also be leveraged outside of Keelvar for use in ERP, TMS, and other systems.
To download a Negotiation guide report, complete the following steps:
- Go to Analyze > Bid Analysis.
- Click the Reports tab.
- In the Negotiation guide report section, from the Selected scenario list, select an evaluated scenario.
- In the Number of bids to display field, enter the number of top-ranked bids you want to include in the report.
- In the top-right corner of the page, click Generate report.
- After the report is generated, click Download.
- Follow your browser’s instructions to either open or save the file.
If new updates have been made since the report was last generated, you may receive an error message. The following updates require you to evaluate the selected scenario again, and then click Generate report to create an up-to-date report.
- If additional bids have been submitted since the scenario was last evaluated.
- If the scenario has been reconfigured since it was last evaluated.
- If the scenario was evaluated since the report was last generated.
Bid summary report
The Bid summary report is a customizable, downloadable report that provides a range of bid analyses based on a selected scenario.
You can customize this report by selecting additional content to include for analysis; choosing different scenarios on which to base the cost calculation; including or excluding certain lot groups; and grouping lots by specific columns.
- Report content: Configure what type of data analysis you want to include in the report. Each type of analysis has its own worksheet in the report.
- Bid summary: This is the default bid summary data that is included in the report.
- Coverage: Displays the number of complete bids per lot and lot group, and the number of complete bids per bidder.
- Absolute gap analysis: Displays the difference between each bidder’s bid and the first-placed bid for every lot and lot group.
- Proportional gap analysis: Displays the percentage difference between each bidder’s bid and the first-placed bid for every lot and lot group.
For Absolute and Proportional gap analysis, in the downloaded report, if the Target column role has been assigned, the Target Value column uses the target rates configured by the purchaser; if the Target column has not been assigned, the Target Value column uses the lowest bids.

- Rank analysis: Displays the top number of ranked bids and bidders per lot and lot group. After you select the Rank analysis checkbox, enter the number of ranked bids you want to display in the Rank range.
- Selected scenario: Select the scenario you want to use to calculate bid values in the report.
- Selected lots: By default, all lots are included in the report. Alternatively, you can select a specific lot group from the list. This lot group is then the only group of lots included in the report.
- Lots grouped by: Select the bid sheet columns by which to group the lots. Bidder performance is aggregated per the columns.
- Substitution strategy: This section provides options for managing partial coverage when aggregating lots into lot groups. Select one of the following options:
- Include their bids: This is the default substitution strategy and includes no modifications; the results are based on incomplete coverage.
- Exclude their bids: This substitution strategy excludes bids that do not cover all lots in a group. For example, if a supplier only bids on one of two required locations for a group, then their bid is not considered for that group.
- Use the least competitive bid for missing values: This substitution strategy replaces missing bid values with the highest bid of a competitor when calculating group totals.
- Use the most competitive bid for missing values: This substitution strategy replaces missing bid values with the lowest bid of a competitor when calculating group totals.
To download a Bid summary report, complete the following steps:
- Go to Analyze > Bid Analysis.
- Click the Reports tab.
- In the Bid summary report section, under Report content, select the checkboxes of the data analysis you want to include in the report.
- Optional: Select a scenario from the Use cost calculation rules from list.
- Optional: Select what lots to include in the report from the Lots included list.
- Optional: Select the bid sheet columns by which to group the lots from the Group lots by list.
- Optional: In the Substitution strategy section, click a strategy for managing partial coverage.
- In the top-right corner of the page, click Generate report.
- After the report is generated, click Download.
- Follow your browser’s instructions to either open or save the file.
