Event Overview

The event overview page displays general information about the sourcing event, including the event summary, the time remaining in the event, the time zone and schedule for the event, currency information, and the purchaser’s contact details.

A. Top Banner

  • Event name: The name of the event as set by the purchaser organization.
  • Purchaser organization name: The name of the purchaser organization.
  • Bid Status Banner: The Bid Status Banner displays the number of Bids and RFI responses submitted, as well as the total number of lots or RFI questions. It will also show the time and date of the latest submission. 
  • Round countdown: This timer tells you when the current round or stage is set to finish. Ensure that you allow sufficient time to submit your bids correctly. 

B. Event overview

  • Event description: Brief description of the sourcing event.
  • Timezone: Time zone of the event
  • Event schedule: Duration of the current and previous rounds. Depending on the event settings it may also display the schedule of future rounds.
  • Welcome message: The welcome message for a sourcing event may include key information of the tender objectives and will usually provide additional details or instructions for the event.

C. Contact for business questions: This section displays the contact name and email address of the person who is managing business-related questions on the purchaser organization. This is an optional field and may be left blank if the purchaser chooses to.

D. Contact for technical support: Keelvar Support email address for technical issues and questions. 

E. Team members. The list of users in your organization that have been invited to this event as well as the status of their invitation. Here you can also manually add team members to a sourcing event.

F. Currency details: Event primary currency, secondary currencies and their relevant exchange rates.

G. Documents: The list of supporting documents is attached by the purchaser organization.

Navigation bar

The navigation bar at the bottom of the screen allows you to navigate between different sections of the sourcing event:

  • Overview: Includes event summary, time remaining, time zone and schedule, currency information, and purchaser's contact details.
  • Messages: Displays in-app messages exchanged with the purchaser.
  • RFI: Lists purchaser questions that may need answers before accessing the bid sheet.
  • Bid Sheet: Provides online and offline bid sheets for submitting your bids.
  • Discounts and Capacity: If enabled, from these tabs you can offer discounts on groups of lots or specify lot group capacity.
